Terms & Conditions

1. Acceptance of these terms

These Terms & Conditions ("Terms") are a binding agreement between Qubitron Labs, the operator of QubitPilot ("QubitPilot", "we", "us"), and the firm and individuals who register for and use the QubitPilot application and website (the "Service"). By creating a workspace, signing in, or using the Service, you accept these Terms on behalf of yourself and, if you are registering for a firm, on behalf of that firm.

2. Who can use QubitPilot

QubitPilot is built for advocates, chartered accountants and similar professional practices in India. You must be at least 18 years old and legally capable of entering into a binding contract, and if you register on behalf of a firm you confirm that you are authorised to bind that firm to these Terms.

3. Your workspace and account

Creating a workspace makes you its owner, with full control over billing, roles and every other workspace setting. An owner or admin may invite colleagues and assign them a role that controls what they can see and do. You are responsible for the accuracy of the information you provide and for all activity that happens under your account and your team's accounts, including anything a colleague you invited does inside your workspace. Keep your sign-in details, passkeys and screen-lock PIN to yourself, and tell us promptly at info@qubitronlabs.com if you believe someone has used your account without permission.

4. Free trial

Every new workspace begins with a 15-day free trial of a paid plan. No payment is taken during the trial. If you add a payment method and it is authorised before the trial ends, your subscription begins automatically at the end of the trial unless you cancel before then; if no payment method is authorised, access to paid features ends when the trial ends.

5. Subscription, pricing and billing

Paid plans are billed in advance on a monthly or yearly cycle you choose. When you subscribe, you authorise us and our payment processor, Razorpay, to charge your chosen payment method automatically at the start of each billing cycle — an auto-debit mandate — until you cancel. You can view, change plan, or cancel your subscription at any time from your billing settings; a cancellation takes effect as described in our Refund & Cancellation Policy. We may change plan pricing or features going forward; if a price change affects your plan, we will give you notice before it applies to your next billing cycle.

Prices are in Indian rupees and exclude applicable taxes, such as GST, which are charged where applicable. Charges made by a third party for a service you connect — for example Meta's own messaging charges for WhatsApp — are billed by that party and are not part of your QubitPilot plan. Each plan includes the features and usage allowances shown on our pricing page, such as users and AI usage; usage beyond an allowance may be limited until your next billing cycle or may need a higher plan or an add-on.

6. Refunds and cancellation

Refunds and cancellations are governed by our Refund & Cancellation Policy, published at /refund-policy, which forms part of these Terms.

7. Your content and data

You and your firm retain ownership of everything you put into QubitPilot — client records, documents, communications and every other record your firm creates. We do not claim ownership of your content. You grant us only the limited right to host, process and display that content as needed to provide the Service to you, including the search, indexing and AI processing described in our Privacy Policy. Because QubitPilot is an AI-assisted service, this includes processing the relevant content with AI and sharing it with the AI services that power a feature at the moment that feature needs it, as described in our Privacy Policy. You are responsible for having the right to upload and store any content you put into the Service, including client data you are authorised to hold under your own professional obligations.

8. Acceptable use

You agree not to: use the Service for any unlawful purpose; upload content you are not authorised to store or process; attempt to gain unauthorised access to another workspace or to the Service's infrastructure; reverse-engineer, scrape or resell the Service; or use the Service in a way that disrupts it for other customers. We may suspend or terminate a workspace that violates this section.

9. Third-party integrations

Some features connect to third-party services on your instruction — WhatsApp, Google Calendar, court-record lookups, GST verification and, where offered, your own cloud storage bucket. Connecting one of these is optional and is your decision; once connected, that provider's own terms also apply to your use of it, and QubitPilot is not responsible for that provider's availability, accuracy or acts.

10. AI-assisted workflow

QubitPilot is an AI-assisted practice-management service. Its assistant, in the app and on WhatsApp, and its automations help manage your firm's workflow — they search, draft, summarise, read documents and messages, prepare records for your review, and can carry out actions you or your firm approve. By using the Service you acknowledge that your workflow is AI-assisted, and you instruct us to process your workspace data with AI, and to share it with the AI services that power these features, as described in our Privacy Policy.

AI output is not legal or accounting advice, may be incomplete or incorrect, and must be reviewed by a qualified person at your firm before it is relied on, sent to a client, filed, or acted on in any other way. By default, actions with real-world consequences require a human approval inside the Service before they take effect, unless your workspace's owner or admin changes the AI approval settings or allows a specific automation to run without approvals.

You remain responsible for your own professional obligations, including duties of confidentiality owed to your clients under the rules that govern your profession — such as those of the Institute of Chartered Accountants of India or the Bar Council of India — and under data protection law. It is your decision whether AI-assisted processing is appropriate for a particular client, matter or document, and you are responsible for obtaining any client consent those obligations require. You can choose not to use the AI features for any record.

11. Intellectual property

The Service itself — its software, design, trademarks and the QubitPilot name and logo — belongs to us or our licensors. Nothing in these Terms transfers any of that to you beyond the limited right to use the Service under your subscription. If you send us suggestions or feedback, we may use them to improve the Service without any obligation to you.

12. Confidentiality

Each party will keep the other's non-public information confidential and use it only to perform under these Terms, except where disclosure is required by law.

13. Suspension and termination

You may stop using the Service and cancel your subscription at any time. We may suspend or terminate a workspace if payment fails and is not cured, if you materially breach these Terms, or if we are required to do so by law. On termination, your right to use the Service ends; your data is handled as described in our Privacy Policy and Refund & Cancellation Policy.

14. Disclaimer of warranties

The Service is provided "as is" and "as available". We do not warrant that it will be uninterrupted, error-free, or that AI output will be accurate or complete. To the maximum extent permitted by law, we disclaim all implied warranties, including merchantability and fitness for a particular purpose. Features we mark as beta are offered for early use and may change or be withdrawn.

15. Limitation of liability

To the maximum extent permitted by law, QubitPilot will not be liable for indirect, incidental, special or consequential damages, or for lost profits or lost data, arising from your use of the Service. Our total liability for any claim relating to the Service is limited to the amount you paid us for the Service in the 12 months before the claim arose.

16. Indemnification

You agree to indemnify and hold QubitPilot harmless from any claim arising out of your content, your use of the Service in violation of these Terms, or your violation of any law or third-party right.

17. Force majeure

Neither party is liable for a delay or failure caused by events beyond its reasonable control, including an outage at a third-party provider listed in our Privacy Policy.

18. Governing law and disputes

These Terms are governed by the laws of India. Courts at Jaipur, India have exclusive jurisdiction over any dispute arising from these Terms or the Service.

19. Changes to these terms

We may update these Terms from time to time. We will notify workspace owners of a material change before it takes effect; continued use of the Service after that means you accept the updated Terms. We send service, security, billing and legal notices to the email address on your account or as an in-app notice.

20. General

These Terms, together with our Privacy Policy and our Refund & Cancellation Policy, are the entire agreement between you and us about the Service. If any provision is found unenforceable, the rest remain in effect. Not enforcing a provision at any time does not waive our right to enforce it later. You may not transfer your rights under these Terms without our written consent; we may transfer ours as part of a merger, acquisition or sale of the business, and will notify you if we do.
