What the calendar is for
Every event you see on the calendar is a Hearing record, and every hearing is tied to a specific case. There is no way to add a personal reminder, a meeting, or any other kind of event directly on this calendar. If it's not a hearing, it doesn't belong here.
You can switch between Month, Week, and Agenda views to change how hearings are laid out, and you can click an empty day to start adding a hearing on that date.
- Month, Week, and Agenda views are all available from the same screen
- Clicking an empty day pre-fills the hearing's date when you add one
Creating and editing a hearing
When you add a hearing, you must choose a Case. This field is required, because a hearing cannot exist without a matter it belongs to. You also set a hearing type, an optional court, a start date and time, an optional end time, a status (Scheduled, Completed, Adjourned, or Cancelled), and optional notes.
Once a hearing has been created, the Case field becomes read-only. You can still edit the date, time, type, court, status, and notes, but you cannot move a hearing from one case to another after the fact. If you linked it to the wrong matter, you need to delete it and create a new one under the correct case.
- Case is required when creating a hearing and locked afterward
- Editing a hearing lets you change date, time, type, court, status, and notes, not the case it belongs to
AI actions on a hearing
Opening a hearing's detail page gives you an AI menu with three draft-only actions: Prepare brief (saves its output as a Canvas note, subject to the normal approval step), Check readiness, and Draft lead digest. None of these send anything or change any record on their own. They produce drafts for you to review.
How to
How to add a hearing to the calendar
- Open Calendar and either click an empty day or use the add-hearing action.
- Choose the Case this hearing belongs to. This cannot be changed later.
- Fill in hearing type, optional court, start date/time, and optional end time.
- Set a status (defaults to Scheduled) and add any notes, then save.
How to sync hearings with Google Calendar
- Go to Settings and open the Google Calendar integration. This is a separate screen from the Calendar module itself.
- Connect your own Google account. Each person connects their own calendar, separately in each workspace; there is no single workspace-wide connection. Owners and Admins can connect by default; other roles need the permission granted.
- Use Sync Now to run a full backfill from Google, and set default mappings (case, hearing type, court) for events that get created on the Google side. Without a default case and hearing type, those events wait in a review queue to be imported or dismissed.
- Disconnect at any time from the same settings screen. This only affects your own connection: it removes the events QubitPilot created from your Google Calendar, and events that came from Google stay.
Good to know
- A hearing's manual reminder and a matter's "alerts enabled" toggle are two separate, independent mechanisms. The manual reminder is something you set yourself, per hearing, for a specific date and time, and that control actually lives under Court Intelligence → Hearings, not on this Calendar module. The alerts toggle, set per matter, automatically notifies you of any hearing-date change or new court order and works independently of any manual reminder you've set.
- Google Calendar sync is configured under Settings, not here, and is per person, in each workspace. Connecting your calendar does not connect anyone else's. Only hearings sync: a new hearing goes to the Google Calendar of whoever created it, and hearings that existed before they connected are not pushed to Google.
