What a client record holds
Every client record combines identity details, tax and compliance identifiers, and communication preferences in a single form, opened from a drawer rather than a separate page.
Some fields are required before a client can be saved, while others exist to support GST-compliant invoicing later.
- Client Name and Primary Mobile number are required, and the mobile number must be a valid Indian number.
- PAN is required and validated against the standard PAN format.
- TAN, CIN, MSME/Udyam registration, Aadhaar, and IEC are optional, but are format-validated if you fill them in.
Verifying GST details
A client's GSTIN can be verified from inside the create or edit form using a dedicated Verify GST button.
Verification is optional and never blocks saving the client. You can save a client with an unverified or missing GSTIN and verify later.
- A successful verification autofills the legal name, address, and PAN derived from the GSTIN.
- GST verification does not calculate invoice tax. Invoice-level GST is a separate manual toggle set when you create an invoice.
Archiving versus deleting
Archiving a client sets its status to inactive and keeps every linked case, invoice, and document intact. It is meant for clients you no longer work with but still need on record.
Deleting a client is permanent and available from both the client list and the client's own detail page.
How to
How to add a new client
- Open Clients and select Add client (or use the +Add shortcut from the client list).
- Fill in the required Client Name and Primary Mobile number, plus Client Type and any address or contact details you have.
- Enter the client's PAN. It's required to save the record.
- Optionally select Verify GST to confirm the GSTIN and autofill the legal name, address, and PAN.
- Save the client. GST verification is optional and does not need to complete before saving.
How to reach a client quickly
- Open the client's row in the client list.
- Use the quick actions to call, message on WhatsApp, or email the client directly, or copy their number or email address.
Good to know
- Archiving (marking a client inactive) is a separate action from deleting: archiving is reversible and keeps all linked records; deleting is permanent.
- GST verification autofills identity fields but never blocks saving. A client can exist with an unverified GSTIN.
